Specific features: This product has the ability to handle complex inventory control issues. Stock can be placed in either "general" inventory or segregated by project. This means an item can be stocked in as many locations as desired and grouped with other related stock items. The purpose of the Service Writer System (SWS) is to provide computer support for any company that maintains vehicles and/or parts inventory. Any type of vehicle may be added to the SWS. This can include tractors, trailers, trucks, cars, tow-trucks, forklifts, motorcycles; any vehicle desired. The parts in the SWS may be any replacement parts needed by a vehicle. A master worksheet, containing part numbers, descriptions, prices, and quantities on hand for the parts used by a company, may be easily loaded into the system. This can eliminate a substantial amount of keying when the SWS is initially installed.

Establishments that can benefit from the SWS include service stations, fleet transportation companies, garages, as well as all other businesses who have a fleet, large or small, of vehicles to support, or an inventory of parts, large or small, to maintain. The SWS provides automated assistance to the daily operation of these businesses in the following ways:

1 - providing control of parts inventory. This includes part number, description, stock on hand, and four levels of pricing. When work orders are processed, the quantity (stock on hand) for the part being used is automatically reduced.

2 - maintaining work orders both in progress and after completion. Parts used on the work order is extracted from the parts master file. If an order needs to be reviewed at a later time, it is available on a history orders file.

3 - providing an automated method to add stock additions to the SWS when a shipment of parts is received. This eliminates manual data entry of the additions.

4 - providing a customer master file that contains information, such as name, and address to expedite processing their work orders.

5 - providing for printing labels from the customer master.

6 - maintaining unit information such as unit make, license, renewal date, etc.

7 - tracking tire information for every tire on the units in the SWS. Information includes original cost of tire, cost per mile, brand name, on which unit it is installed, number of miles on tire, and an audit trail on the tire's use on other units.

8 - supplying a parts informational list of all parts on each unit and providing the ability to locate matching parts.

9 - providing an automated note pad to retain notes and lists

10 - supplying a maintenance criteria due report on any criteria specified, such as inspection dates or oil changes. The criteria due factor may be based on number of days or on elapsed mileage as defined in the criteria master.

11 - supplying a parts and labor report showing the parts and labor costs by work order and unit. This report may select a range of dates and/or a range of units to be extracted for reporting.

12 - supplying a parts used report that may select a range of dates and/or a range of part numbers to be extracted for reporting.

13 - supplying a tire location report for all tires in the SWS.

14 - providing the ability to print all entry and list screens as needed.

Use of these features in the SWS depends upon the needs of an individual company. For example, for companies that do have outside customers, if maintaining in-house vehicles only, the customer master feature need not be used.

The SWS makes use of table files to simplify the day-to-day operation of the system. Table files are normally defined only once when the system is initially installed. They contain basic information such as tax rates, valid customer codes, company name, etc.. Several unique tables exist including the following:

- Criteria master - this allows defining a scheduled maintenance criteria and either a time or mileage factor that it is due again. For example, state inspections may be required every 365 days (annually), oil changes may be required every 15,000 miles, etc. These criteria can be tracked for every unit in the SWS. There is no limit to the number of criteria that may be defined on the criteria master.

- Package master - this allows defining groups of parts and/or labor charges to one package name. On the open work order, selecting the package name will automatically copy all the detailed items defined in that package without keying the detail information. There is no limit to the number of packages or the number of detail items defined within each package.
